Qualifications

The Onboarding Coordinator serves as the primary contact for all new hire, agency and student interactions at Gordon Hospital and Murray Medical Center. The Onboarding Coordinator provides administrative and clerical support for Human Resources and Employee Health, handling sensitive information in a confidential and professional manner. 

 

You will be responsible for

 

  • Assists with reception area functions
  • Reviews and assists with all inquiries (personal, telephone, e-mail, and mail) by either resolving them within the scope of authority, or referring them on to the appropriate source within or outside the Department of Human Resources
  • Greets internal and external customers for Human Resources and Employee Health customers
  • Provides routine information to hospital employees, customers and the public relating to the hospital.
  • Assists all HR visitors with basic forms and paperwork, including collecting and prepping employee related documents for scanning as necessary
  • Assists hospital employees with MyHub navigation
  • Researches, writes and proofreads correspondence as requested
  • Remains updated on database and computer skills, always researching better and more efficient ways to use the computer and database.
  • Reviews paperwork and correspondence for proper processing.
  • Creates and maintains employee files, including information about licenses and competencies, for the local Human Resources department
  • Collecting and prepping employee related documents for scanning
  • Scanning and attaching employee related documents into ImageNow/Perceptive Content
  • Coordinates the onboarding process of new employees
  • Receives all required documents from New Employees coordinated through HR Shared Services (License, Certification, ID, Legal forms)
  • Meets with all new hires when they come for Employee Health Physical
  • Reviews new hire paperwork to ensure that it is completed and proper documentation is obtained.
  • Verifies documents and credentials are in compliance with hiring practices and procedures, including completing I-9’s and primary source verifications
  • Works closely with Shared Services to make sure process is smooth
  • Coordinates the monthly preparations for New Employee General Orientation, SHARE, Process Improvement, and Retirement (AHRP). 
  • Coordinates all agency employees and collects necessary documentation before they work in the facility. 
  • Coordinates all student regulatory paperwork and orientation.  Assists with placed mid-level and med students in rotations. 
  • Assists with the annual Evaluation Program
  • Reviews and processes each evaluation, noting errors and contacting department managers, concerning corrections and signatures.
  • Follows up with department managers regarding missing or incorrect evaluations, escalating as necessary.
  • Organizes completed evaluations and prepares them for scanning into employee files.
  • Assists managers with using evaluation tools.
  • Calculates merit increase and notifies Shared Services. 
  • Tracks offer-related Bonus Payments, including New RN, referral, relocation, and sign on bonuses, and processes payments as scheduled.
  • Audits employee files, assuring information is complete and correct to assure compliance with TJC and other governing standards. 
  • Prints and distributes new id badges for employees, students, volunteers, as needed.
 
 
 
What will you need?
 
  • Must have computer related skills with knowledge of Microsoft Office products and office equipment operations
  • Must have exceptional communication skills
  • Displays professional interactions with all levels of internal and external customers
  • Ability to multitask; functions well in a demanding office environment
  • High School diploma or equivalent
  • Associate degree or higher in business administration or office administration preferred.
  • Prior Human Resources experience preferred.
